Dispatched Driver Give Your Shipment Back?

 

Don’t panic

 

• Blast the load on all your load boards to see what trucks are empty and near the pickup location.
• Send an email blast out to all your trucking companies.
• Call the trucking companies that typically service that lane.

 

 

 It is vital to dispatch your drivers early within the day, at least 3 to 4 hours before the time estimated for the driver to be on the road and headed out for on time arrival. It is your responsibility to make sure that everything is still on track throughout the full shipment.

 

 Remind the driver to give you a heads up when they are close because this is an important shipment to you and your company, you are seeking future opportunities and really need to win.

 

 Ask the driver for their help with this and that you will look out for them with future loads contingent on their performance… money talks.

 

 

Mechanical Breakdown

Let’s face it; things happen so if your driver call and is experiencing delays due to a mechanical breakdown you will need to obtain information from the driver so that you can notify all parties with as much detailed information as possible regarding this unexpected delay.

 

Ask the driver or carrier dispatcher:

What kind of repairs is needed?
Where did the break down occur?
Were any of the freight compromised at the time of the breakdown?
What is the current location of the truck?
What is the name, address and contact number  of the repair shop?
Ask when do they expect for the truck to be back up and running? Request frequent updates so you can keep all parties that this may concern aware.

 

 

 

Freight Refused

 

Freight can be refused for several reasons beyond your control;

 

• Wrong product (size, color, etc)
• Units are damaged
• Not what they expected and simply no longer want it
• Trailer damaged
• Duplicate shipment
• Incorrect data noted on the bill of lading
• Driver arrived later than appointment time
• Seal on trailer broken or compromised
• No dock space

 

 

When unit are refused, you must ask for return authorization from your customer prior to disposition. The customer may have a facility that is much closer than returning back to the shipper so never direct the driver without authorization from the customer. The customer will not pay for a move they do not authorize.

 

 

Cancelled Shipment

 

Very often there are cases where a shipment is cancelled.

 Shipments can be cancelled for various reasons. If your driver trailer is empty, dispatched and headed to the pickup location or have arrived to the pickup to find out the load is cancelled, charges will accrue. Truck order not used fees typically range between $150 to $250 depending upon the carrier agreement arranged. Be sure to get approval for these charges from your customer.

 

 

NO TRUCKS AVAILABLE FOR A LOAD YOU ACCEPTED

 

Be courteous and know when it is time to advise your customer that you can no longer cover their load. Give them the opportunity to find another carrier in enough time to honor the commitment that they made with their dealer.
Try all options first before giving the load back; if time permits. Throughout your search, if you were able to find drivers that can commit to a later date and time, run those suggestions by your customer as well.
If capacity is pretty tight in that area more than likely they will rather stick with you, and just take the next available date versus starting a new search; only if there isn’t a strict deadline for delivery.

 

 

LATE PICKUPS OR DELIVERIES

 

Every Freight Broker cringes when a shipment is deemed late. Most companies run a carrier score card which is a report that breaks down how often you were late for pick up and deliveries, how many times you gave shipments back that you were unable to commit to, and the list goes on.

Vital decisions are made based on this information when dedicated carriers are chosen for their shipments.

A Freight broker can earn big bucks with one customer based off their driver’s performances with successful pickup and delivery times honored. When bids come up you most definitely want to be considered.

 

 

TRUCKING COMPANY GIVE BACK DEDICATED PROJECTS

 

There are several miscellaneous reasons tucking companies give loads back, in most cases it is because they found better lanes and at a better price. Despite the reason, you now have to recover a shipment that you already negotiated the rates, and had ready to go.

 

Back to the drawing board now, so remember to not panic.

 

 Depending on how much of a notice the trucking company provide to you, and the urgency of the shipment; begin calling and emailing other trucking companies that service the same lanes.  If you end up in a situation where the shipment have to be picked up the same day or within a couple hours, blast it out on all your load boards, normally you will find your shipment recovered much quicker than expected.

  •  Delegating a shipment from start to finish is indeed the domineering force you have with selling your business every chance you get, expect nothing but the best from your carriers and let them know exactly what your expectations are.

 

  •  You are paying the carrier for their services so do not be afraid to address your needs regarding your shipments. Your business rides on it, the drivers represent you every single time they pick up and deliver a load for you.

 

  •  Make sure that your drivers are polite and courteous, despite frustrations they may have experienced throughout their trip, let them know to push those feelings aside while in your customers presence. Remain professional.

 

 

 

Any issues that arise escalate the matter and involve all parties that will be impacted. By taking these tips and strategies in consideration, you will begin to develop draw dropping tactics towards growing your business effortlessly.
